                                                                                    MEETING MINUTES

                                                                                      December 12, 2007

SECRETARY’S REPORT

NG highlighted minutes from the previous meeting on November 14th which were approved.

TREASURER’S REPORT

NS reported that MK still has not indicated to whom the check for the 7th grade field trip should be made. KT said she would follow up on this. CW gave NS the invoices for the Berkshire Grown fundraiser. There was a question about the interest the PTO account received in October. N S will look into this. The treasurer’s report was accepted.

DISCUSSION

Activity Nights-

The suggestion was made to contact the chairpersons for each grade about planning activity nights. NG will email all chairpersons to remind them. It was agreed that $300 will be allocated to each grade for their nights out.

Talent Show-

NS brought up the promotional schedule for the talent show. KT said she would take care of this after the middle school play on January 11th.

Fundraisers-

Fall Fundraiser: CW came in to talk about the fall Berkshire Grown fundraiser. The fundraiser was not as successful this year as it was last year–$1100 net this year vs.$2500 last year. A discussion took place as to why this might have happened. Some of the reasons discussed were: Last year there were three all calls made (1. to say brochures were going home, 2. the night before orders were due back at school, and 3. the night before pick-up.) This year only one all call went out (the night before orders were due back at school.) The teachers did not get brochures so they did not place orders. Someone suggested that maybe it was because we did not offer coffee this year, which was a big seller last year. Economic conditions could also be a factor as to why people ordered less this year. Some suggestions for how to improve next year: do the whole fundraiser a little earlier, maybe before Thanksgiving,  make an all call next year when the brochures go out, so parents know to look for them in the backpacks, make sure teachers get brochures next year, not only to give them a chance to order but also so they know what all the important dates are concerning ordering and pick up.

Spring Fundraiser: KT mentioned an online fundraiser called iBakesale.com that BW told her about. AW talked about a fundraiser called Scrip which she said she would find out more about.

School Lunches-

Another discussion about healthy lunch choices ensued. NS said she was going to talk with the person who runs the Richmond school cafeteria about what type of healthy choices they offer. The idea of having the vending machines carry healthier choices was also brought up. A  suggestion was made to have JT speak at either a forum outside of school or a PTO meeting on how decisions are made on what’s for lunch and what’s offered in the vending machines.

INFORMATIONAL UPDATE

NS brought up the fact that there is a PTO email address on the website, but nobody knows how to retrieve the emails. NS said she would check with LM to see if she knows how to get to the emails.

OPEN DISCUSSION

The meeting ended with a brief discussion on the bullying forum.
